1. Who we are

The controller of your account data is the Aeli service. Privacy contact: support@getaeli.pro.

We process your clients' data (session recordings, transcripts, reports) on your behalf and on your instructions. For that data you, the practitioner, are the controller and we are the processor. You are responsible for obtaining your client's consent to recording and processing.

2. Data we collect

• Account data: name, email address, account identifier.
• Practice data: session and dictation audio, transcripts, generated reports, client records (names or aliases you enter), outcome-tracking scores, your templates and settings. This data may include health information, a special category of personal data.
• Subscription data: subscription status and term, country. Card details are collected and stored only by the payment provider — we never see them.
• Technical data: device model, OS and app version, error logs.

This website does not use cookies for analytics or advertising.

3. Purposes and legal bases

• Providing the service — recording, transcription, generating and storing reports (performance of contract).
• Managing subscriptions and tax (performance of contract, legal obligation).
• Customer support and service notices (performance of contract).
• Security, abuse prevention and fixing bugs (legitimate interests).
• Complying with the law (legal obligation).

We do not sell data, show ads, or use your data to train our own AI models.

4. How a session is processed

1. The audio recording is uploaded to secure cloud storage.
2. The recording is sent for transcription. Once transcription succeeds, the audio file is deleted.
3. The transcript is saved to your account and sent to an AI model to generate the report.
4. If anonymisation is on, people's names are replaced in the report. Note that names remain in the transcript itself until it is deleted.

5. Who we share data with

Only service providers we need to run Aeli, each processing data solely to perform its function:

• cloud hosting provider — authentication, data storage, server-side processing;
• speech-to-text provider — audio transcription;
• AI model provider — report generation;
• subscription management provider — subscription status and term;
• Paddle — Merchant of Record and payment processing for website purchases;
• app store — if you subscribe in the app.

We may also disclose data where required by law.

6. International transfers

These providers may process data outside your country, including in the United States. Where required, transfers are protected by appropriate safeguards such as Standard Contractual Clauses.

7. Retention

• Audio recordings — deleted after successful transcription.
• Transcripts — deleted automatically after 7 days by default (adjustable in settings), and can be deleted manually at any time.
• Reports and client records — kept until you delete them or your account.
• Account data — kept while your account exists. After account deletion, data is erased within 30 days, except records we must keep by law (such as billing records).

8. Security

Data is encrypted in transit and at rest. Access is restricted by security rules so each user can only access their own data. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information.

9. Your rights

Depending on where you live, you may have the right to:

• access your data and get a copy;
• correct inaccurate data;
• delete your data or account;
• restrict or object to processing;
• receive your data in a portable format;
• withdraw consent where processing relies on it;
• lodge a complaint with a data protection authority.

To exercise these rights, email support@getaeli.pro. We respond within 30 days. If you are a client of a practitioner who uses Aeli, please contact your practitioner first — we will help them handle your request.

10. Age

Aeli accounts are for people aged 18 and over.

11. Changes

We may update this policy. We will notify you of material changes by email or in the app.
